Formal complaint letter for any company
Not sure which template fits? This one works for any company. It follows the structure complaints teams respond to: what happened, how it affected you, what you want, and by when.
What makes a complaint work
- Stick to facts, dates and reference numbers. Leave out how frustrated you are.
- Ask for one specific outcome, such as a refund, a repair or an apology in writing.
- Give a deadline and say what you'll do next if it passes, such as going to an ombudsman.
Questions people ask
Should I send a complaint by email or by post?
Email is fine for most companies, as long as you keep a copy. Use registered post when the amount is large or the company has ignored you before.
What can I do if the company doesn't reply?
Many sectors have an ombudsman or alternative dispute resolution scheme. You can also contact your national consumer organisation.
